Anyone out there using ATX's document manager - I am still in the dark ages (paper) as far as documentation - any feedback is appreciated-thanks.

It works, and I am using it. However, I am still trying to decide how to rearrange my directories (folders).

I am trying to get 90% paperless. I know for now 100% is impossible.

The work flow around paperless office I see could be a problem.

I tried highlighting amounts on like the 1099's to proof the returns, when I have an error

how do I handle it. For example I was highlighting the amounts in the pdf file of the return.

Up jumps an error, okay, now what, I need to fix the return and get a new pdf file.

Lost all my highlighting!!! Bad, bad...

Anyway, outside the checking routine it works.

I doing away with, slowly all of my "old" files. Scan, scan, scan.....

Anybody need some file cabinets?

I had just written a long post here and was almost done, when Firefox CRASHED!

Well to save time I will summarize this time: ATX is low level and has very limited search functions. I also looked at Drake and CS, and not much better there. All cater to there tax and accounting software and force you into their structure. Should you need more later or need to change. FORGET IT!

Although I personally like the features of the high end doc mgrs costing thousands and well outside my budget, there are several other options that exist which are reasonably priced.

In the interest of speed I am only going to list the sites. I have not done a thorough analysis of any of these yet due to time and prob won't until I relocate to NV in a month. Most will allow you download a demo or trial version. Couple have OCR or may be adding in near future. Some have drag and drop with Explorer.

Finally, Lila Godel on here suggested another software www.officetoolspro.com that has document management and a lot of other tools. Haven't tested this either but seems an interesting option if the doc mgr is sophisticated enough. Has all of the following for a fairly low price:

I appreciate the posts for possible resources. I need to make a change this year or next.

I am currently about 90% paper free. Everything I do is through the Internet. In fact, I do not do office visits at all. I have worked stright off the hard drive in the past. My file looked like this.

Client Information

....

Last Name, First Name SSN (last four digits)

Tax Year

Income Tax Return

Other

Work Papers

.pdf of return(s), F4868, F9325 and signed 8879 kept in Income Tax Return

Copy of engagement letter, blank (to be sent) organizer and return flow checklist kept in Other

All incoming e-mails & faxes were file by date (yymmdd) under Work Papers. (My faxes come into my computer and am in the process of going to an Internet fax service.)

The...represents the work flow of the return. Such as Organizer Sent, Ready to Work, Awaiting Infomration, etc. I had a variety of files, kept in workflow order and everything work was completed in an area it was listed in the checklist and put in the appropriate file. Some of the files were kept in name order, such as Returns Completed, Organizers Sent, Awaiting F8879, etc. Some were kept in subfolders in number order such as those for Ready to be Worked, To Be Reviewed After Tax Season (for those new clients that needed prior year amendments, etc.). In that way it was FIFO.

I have been hesitating to change to Vista because it is difficult, as I have observed, to operate out of the hard drive and my current system would not prove to work. I need to find a new system that will work with Vista. Fortunately there have been as many bugs with Vista as there are at a cattle feedlot, so I have not had to change over yet. Looks like this may be the year, however.

Paperport....

You can create any tree, folder, or directory structure you like. Annotation, search, etc. sorry I use it in to scan and annotate files that I later transfer to ATX Doc so my in dept knowledge is limited. ?? In dept limited

Just noticed that my version of ATX now knows about ATX Doc and when to the correct client to save the print pdf file.

I scan the pages on to Paperport's desktop so I can arrange them the way I want.
